Venturing Out T's & C's
Methods of Payment:
Direct Bank Transfer is our preferred method of payment, this way we don't pay PayPal service charges and more of your money goes towards our community projects.
For online transactions we use PayPal, a trusted, reputable and secure provider. You are able to pay using most major credit & debit cards and you are not required to have or open a PayPal account to make your purchase.
We are happy to accept cheques providing they reach us at least 28 days prior to the activity date.
Use of Vouchers - if you hold a valid, in date, activity voucher for a specific activity you can use this for a place on an open course of which the activity is stated on the voucher. Vouchers which display a monetary value can be used for any booking.
Programmed Activity Booking Terms:
All programmed activity bookings require full payment to secure the booking. This can be made by any method stated above.
The deadline for booking an activity is 24hrs prior to the activity taking place.
Once a booking has been accepted you will receive relevant information. We will send you a consent form to be completed prior to the activity.
Before booking please check the age range and venue of the activity and consider the physicality of the particular activity / course.
Venturing Out C.I.C. will endeavour to keep online programme information up to date to avoid disappointment. There may be occasions where this is not immediate and availability will no longer exist. Where this is the case any payments will be returned with our apologies.
All other bookings:
All bookings with a value of less than £250 are payable in full to secure the booking. Where the total cost is higher than £250 and the activity you wish to book is within 28 days of contacting us, then full payment is required. If the total cost is above £250 and you are booking well in advance, we require a non-refundable deposit of 25%, with the remainder payable no later than 28 days prior to the activity date.
When a booking has been made and a deposit / full payment is received you will be sent a consent and medical form which must be completed for/by each individual. This form must be returned, where possible, at least 7 days prior to the activity, unless you are told otherwise. All under 18's forms must be signed and dated by a parent or guardian. Failure to return a completed form will likely mean removal from the activity / course with no refund.
Any deposit is non-refundable if you were to cancel. This same rule applies to bearers of activity vouchers.
We are not able to hold dates without a deposit.
Cancellation & Refund Policy:
If the client cancels the following refunds apply:
If the booking confirmation you have received is incorrect or was not what you were expecting, please contact us immediately to discuss the issue. In the unlikely event that you are still not satisfied we will give you a full refund. In all other circumstances the following notice for cancellation applies.
More than 28 days - 75% refund (deposits are non refundable)
Less than 28 days - No refund
Our reason for these charges relates to our staffing contract commitments and overhead cost.
If you wish to cancel your booking please contact us and we will arrange any refund as soon as possible, based on the terms above.
Where a card was used for payment, we will attempt to refund the payment back to that card.
All refunds are subject to security controls and customers will need to give correct receipt references before refunds are made.
We reserve the right to cancel activities and courses where the minimum numbers of participants are not met. We will try and give as much notice as possible. You will be offered another date or full refund (including deposit), whichever you prefer.
Venturing Out C I C reserves the right to change activities or cancel activities and courses due to unforeseen circumstances such as adverse weather. If such a case were to arise you will be offered another date for the activity or a full refund (including deposit) , whichever you prefer.
If required, activity vouchers will be given a 6 month expiry extension free of charge as you cannot redeem a voucher for cash.
Discount & Offers:
Venturing Out C I C may from time to time run promotional discounts, information regarding these discounts will be posted on this website as well as via Social Media such as Facebook and Twitter. When buying online discounts will either be automatically received or a discount code will be required on check out.
*Discounts cannot be used in conjunction with any other offer unless specifically stated within the terms.
*Discounts are not available to Duke of Edinburgh's Award groups and private group/party bookings.
Vouchers can be purchased via our website. There is no automated system. Vouchers are emailed as soon as possible after purchase.
Vouchers are valid for 12 months from the date of purchase. It is your responsibility to retain the voucher until it's use.
Vouchers can be used as payment towards programmed activities as specified on the voucher.
If you purchased a bespoke voucher, specifically for your group, we will arrange for the activity to take place at a convenient date.
Throughout the year we will offer regular courses specific to those which vouchers have been issued. If you are purchasing the voucher as a gift for someone else we will use your contact details as correspondence until the gift has changed hands. We will then need contact details of the voucher owner.
Vouchers are not redeemable for cash and are subject to the same booking conditions as all other bookings.
If Venturing Out CIC were to cancel an activity due to unforeseen circumstances and we are unable to offer another date that suits prior to the voucher expiry, we will extend the expiry for a further 6 months.
Insurance and Safety:
Venturing Out CIC have full public liability insurance. It is the nature of adventure activities that there will always be some degree of risk. Our insurance does not cover you for inherent risks or client negligence. Whilst not mandatory you may wish to arrange your own personal injury insurance or alternatively contact us for help in arranging cover. For your own safety it is imperative that you abide by the decisions of our staff.
Alcohol and Drugs:
Venturing Out CIC reserves the right to refuse participation to clients that they believe to be under the influence of alcohol or drugs and in such circumstances no refunds shall be given.
It is a legal requirement for anyone under the age of 18 years to have parental consent. Parental consent forms can be completed on most devices. Forms must be completed prior to joining us on any activity.
It is a requirement of our insurers that adults complete an Adult self-consent form prior to taking part in our activities.
