Booking Terms & Conditions – Venturing Out CIC

School Holiday Activities:

Holiday Activities are purchased via our website. We use Stripe, a trusted, reputable and secure provider. You are able to pay using most major credit & debit cards.

We require full payment to secure the booking.

We will send you a consent form link to be completed prior to the activity. This form must be completed, where possible, at least 7 days prior to the activity, unless you are told otherwise. Failure to return a completed form will likely mean removal from the activity / course with no refund.

Before booking, please check the age range and venue of the activity and consider the physicality of the particular activity / course.

Venturing Out C.I.C. will endeavour to keep online programme information up to date to avoid disappointment. There may be occasions where this is not immediate and availability will no longer exist. Where this is the case any payments will be returned with our apologies.

Cancellation & Refund Policy – School Holiday Activities:

If the customer cancels the following refunds apply:

If your booking confirmation is incorrect or was not what you were expecting, please contact us immediately to discuss the issue. In the unlikely event that you are still not satisfied we will give you a full refund. In all other circumstances the following notice for cancellation applies:

More than 14 days – Full refund

14 to 8 days – Full refund, if we manage to resell the places, otherwise no refund

7 days or less – No refund

If you wish to cancel your booking, please contact us and we will arrange resale of your places or refund as soon as possible, based on the terms above.

Where a card was used for payment, we will attempt to refund the payment back to that card.

All refunds are subject to security controls and customers will need to give correct receipt references before refunds are made.

We reserve the right to cancel activities and courses where the minimum numbers of participants are not met. We will try and give as much notice as possible. You will be offered another date or full refund, whichever you prefer.

Venturing Out C I C reserves the right to change activities or cancel activities and courses due to unforeseen circumstances such as adverse weather. If such a case were to arise you will be offered another date where possible or a full refund, whichever you prefer.

Private Bookings:

All bookings with a value of less than £500 are payable in full to secure the booking. Where the total cost is higher than £500 and the activity you wish to book is within 28 days of contacting us, then full payment is required. If the total cost is above £500 and you are booking well in advance, we require a non-refundable deposit of 25%. This deposit is only refundable if you were to cancel more than 28 days before your booked activity date. The remainder of your booking cost is payable no later than 28 days prior to the activity date.

Methods of payment:

BACS/Direct Bank Transfer is our preferred method of payment. Bank details will be sent to you once a booking is requested.

We are happy to accept cheques providing they reach us at least 28 days prior to the activity date. Cheques are to be payable to ‘Venturing Out CIC’

When a booking has been made and a deposit / full payment is received, you will be sent a consent and medical form link which must be completed for/by each individual. This form must be completed, where possible, at least 7 days prior to the activity, unless you are told otherwise. All under 18's forms must be signed and dated by a parent or guardian. Failure to return a completed form will likely mean removal from the activity / course with no refund.

Any deposit is non-refundable if you were to cancel within 28 days of the activity. 

We are not able to hold dates without a deposit.

More than 28 days – Full refund

28 days or less – No refund

Duke of Edinburgh’s Award:

In the first instance we will arrange a meeting, with the proposed group and parents to discuss the programme and what it entails.

A contract will be written up between us, the provider, and the group, the customer. This will outline what we have agreed as a programme and the dates for each element.

A 25% deposit of the total group cost is payable upon signing the contract. The remainder is payable in 2 instalments, each 28 days prior to each expedition. This is a group payment which is to be paid as a single payment by the group leader.

Cancellation & Refund Policy – Duke of Edinburgh’s Award:

If your booking confirmation is incorrect or was not what you were expecting, please contact us immediately to discuss the issue. In the unlikely event that you are still not satisfied we will give you a full refund. In all other circumstances the following notice for cancellation applies.

Cancellation of the full programme –

·       More than 28 days – Full refund

·       28 days or less – No refund

Request to change dates –

·       We will work with you to provide a suitable solution

Venturing Out C I C reserves the right to cancel activities and courses due to unforeseen circumstances such as adverse weather. If such a case were to arise, we will work with you to provide suitable rescheduled dates.

Insurance and Safety:

Venturing Out CIC have full public liability insurance. It is the nature of adventure activities that there will always be some degree of risk. Our insurance does not cover you for inherent risks or client negligence. Whilst not mandatory you may wish to arrange your own personal injury insurance or alternatively contact us for help in arranging cover. For your own safety it is imperative that you abide by the decisions of our staff.

All of our staff are PVG registered through CRB Scotland for working with children and vulnerable groups, including adults.

Alcohol and Drugs:

Venturing Out CIC reserves the right to refuse participation to clients that they believe to be under the influence of alcohol or drugs and in such circumstances no refunds shall be given.

Parental Consent:

It is a legal requirement for anyone under the age of 18 years to have parental consent. Parental consent forms can be completed on most devices. Forms must be completed prior to joining us on any activity. 

Adult Consent:

It is a requirement of our insurers that adults complete an Adult self-consent form prior to taking part in our activities.
